Speakers Academy® processes personal data to provide our services and products to you, to inform you about our services and to manage your account, and we consider careful handling of personal data of great importance. Personal data is, therefore, carefully processed and secured by us. In our processing, we adhere to the requirements as set by the General Data Protection Regulation (GDPR). We are responsible for data processing and in this Privacy Policy we explain which personal data we collect, use and for what purpose.
1. Who are we?
Speakers Academy® is an international organisation and an intermediary between speakers and clients. We provide (international) keynote speakers to corporations, organisations and governments which are located all around the world, namely in Europe, North and South America, Asia, The Middle East and Africa. We collaborate and represent some of the most influential people in this world. We also organise meetings and seminars with our speakers and are co-founder of the Grand Speakers Business & Knowledge Club. In addition, we are the publisher of ACADEMY® Magazine.
Speakers Academy® B.V. (trade register 24153344) is responsible for the processing of your personal data. Our head office is located in Rotterdam, the Netherlands.
2. Aim and purpose of processing personal data
Speakers Academy® processes your personal data in accordance with the described purposes and procedures of the General Data Protection Regulation. We distinguish two types of processing of personal data, namely, on the one hand, the processing of data of relations (clients, potential clients, suppliers and persons in our network) and, on the other hand, personal data of (potential) speakers for the provision of lectures, moderator ships, workshops, image and sound productions and other services for relations.
Relations
We only process information from our relations that is necessary for our services. We only keep and use personal data that you provide directly (for example, through a form on our websites, e-mail or telephone contact), or of which it is clear that they are provided to us to process (data we receive from our speakers for possible service with you). In principle, we do not retain any (special categories of) personal data from business relations, but only name and address details, e-mail address, telephone number, data from the organisation and the contact persons. We enrich this information with our information about you that we gain during conversations and electronic contact, or by mediating speakers.
The following personal data are processed:
• Execution of agreements
We process personal data, such as name and contact details, company details and financial data.
• Marketing
We process your personal data to inform you and to keep you informed about our services and speakers, our partners, offers, to invite for seminars and events, sending newsletters and other forms of marketing communication, such as the ACADEMY® Magazine that we issue and which can be interesting for you.
You have the right to deregister at any time for this information provision. Depending on your preferences you can unsubscribe, change your settings directly online, for example for our newsletter, or contact our Front Office to do this for you, via info@speakersacademy.com
• Legal requirements
We process your personal data for the fulfillment of legal obligations, such as keeping an administration or to comply with legitimate requests from competent authorities (for example the Internal Revenue Service).
• Services
We use your data to support you in the use of our services, in improving the quality of our services and carrying out customer satisfaction surveys. In addition, we use your data for maintaining contact with you and our speakers.
• Execution of general business processes, internal management and reports
In order to carry out our business activities, we use your personal data for general business processes. For example, we process your data for archiving purposes, management reports, audits and other administrative purposes.
Speakers
When registering as a speaker, we ask for your name (such as first name, surname) gender, contact details (such as telephone and email) and your CV or an online profile. We need this information to assess whether we see possibilities in for future assignments and to inform you of the outcome of this assessment.
In a collaboration with the speaker, we process personal data that is necessary for the execution of our services. The following personal data are processed:
• Execution of agreements
We process personal data that you have provided to us yourself, such as contact details, company details and financial data.
• Marketing
We process (special categories of) personal data that you yourself have provided to us and for which you have given us permission to use to bring you to the attention of our relations and third parties, for example through an online profile on our websites, social media and video channels, printed media and direct marketing. This may also include information about your education and profession, political opinions, ethnic origin, philosophical and religious beliefs, video and image recordings.
• Legal requirements
We process your personal data for the fulfillment of legal obligations, such as keeping an administration or to comply with legitimate requests from competent authorities (for example the Internal Revenue Service).
• Speaker service and communication
We use your data to support you in the use of our services, to improve our services and to advise you on your own services, such as keeping track of interview reports and contact with our legal and commercial helpdesk for speakers. In addition, we use your data for maintaining contact with you and our relations.
• Newsletter

• Execution of general business processes, internal management and reports
In order to carry out our business activities, we use your personal data for general business processes. For example, we process your data for archiving purposes, management reports, audits and other administrative purposes.
Speakers Academy® is an international organisation. We work with clients and speakers based in Europe, North and South America, Asia, the Middle East and Africa. This means that we process personal data (such as name and contact details) outside the European Union in the context of the implementation of the agreement. We will only provide other personal data if we have received your permission.
3. Storage period
We do not store personal data longer than is necessary to achieve the purposes for which the data was collected or has been regulated by law.
4. Security
To prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized changes, Speakers Academy® takes appropriate technical and organizational measures. Individuals who have access to your data or files on behalf of Speakers Academy® are bound to confidentiality. Speakers Academy® applies generally accepted standards of technological and operational security in the industry to protect personal data from loss, misuse, alteration or destruction. If you suspect that your data is not properly secured or if there are indications of abuse, please contact Speakers Academy®.
5. Share with third parties
Speakers Academy® will not provide your information to third parties and will only provide this information to execute our agreement with you or to comply with a legal obligation, such as the Internal Revenue Service.
We work with external persons or organizations to perform services related to Speakers Academy ®, such as with La Posta for our newsletter. Processing agreements have been concluded with these external parties to ensure the same level of security and confidentiality of your data. Furthermore, we will only provide information to third parties if we have received your permission.
On our websites, social media and other channels and in the newsletter, links can be shown to external websites and organizations. We bear no responsibility with regard to the use of your data by those organizations. Read the privacy statement of the relevant website that you visit.

7. Principles for processing
In the processing of personal data by Speakers Academy®, we base ourselves on different foundations. The data processing may be necessary for the execution of an agreement, to provide services that we have concluded or to perform a statutory duty. In some cases we ask for your explicit permission, for example for the use of certain cookies, or, if you are not a relation or speaker, receiving commercial letters.
Finally, there are processing operations based on the legitimate interest of Speakers Academy® as we aim to carry out our objectives and missions. Furthermore we have to process within the framework of internal management as well as for effective communicational purposes, quality improvement or direct marketing processing to maintain and gain relations. In the latter case, an opt-out is offered at all times.
8. Your rights
You have the right to view your personal data, to have it corrected, supplemented, removed or screened if the data is incomplete, incorrect or processed in violation of a statutory provision. 9. Changes to the Privacy Statement
Speakers Academy® reserves the right to make changes to this Privacy Policy, This can happen when changes in the processing occur or if regulations change. In the event of major changes, Speakers Academy® will bring this to your attention .
